Terms and conditions of booking

All accommodation is offered subject to availability at time of receipt of payment details at the tariffs applicable and shown in your confirmation. Please note that booking direct with us and booking with an agent, such as booking.com, have different key terms as outlined below. If you have made your booking with an agent, please refer to your agent for the terms and conditions of your booking.

1. Bookings and reservations
All reservations are subject to availability at the time of booking. Prices and tariffs are confirmed at the time of your booking confirmation. Different terms apply depending on whether your booking is made directly with us or via a third-party website (e.g. Booking.com). Please ensure you check the specific terms for your booking source. The lead guest must be at least 18 years old at the time of booking and is responsible for ensuring all details are correct, all payments are made, and all members of the party adhere to these terms and conditions.

2. Payment terms – deposits and balances
A 10% deposit is required at the time of booking to secure your reservation. This deposit is non-refundable and non-transferable, except in the event that we cancel your booking (see Cancellations by us). The remaining balance is due 7 days before arrival, and payment will be taken automatically from the card provided at the time of booking. If you would prefer to pay the balance in cash, please contact us in advance to make arrangements. By providing your payment details and completing a booking, you: 1) authorise us to charge your card for the full cost of the stay, any pre-booked meals, and any additional charges incurred during your stay (including food, drinks, or services not settled at check-out), and 2) authorise us to charge for damage, loss, or specialist cleaning, as outlined in section 8. Disputes raised with your card issuer without first contacting us may be considered a breach of these terms.

3. Cancellations by guests
At the time of booking, a 10% deposit is taken. This deposit is non-refundable and non-transferable under any circumstances. For direct bookings, if you cancel 7 or more days before arrival, the remaining 90% balance will not be charged. If you cancel within 7 days, or fail to arrive, the full cost of your stay will be charged. For third-party agent bookings, cancellation terms may differ (typically 14 days), and you should refer to the platform’s terms.

4. Cancellations by us
In the unlikely event we are forced to cancel your booking due to circumstances beyond our control (e.g. fire, flood, severe weather, or power failure), you will be offered a full refund of all payments made (including the deposit) or an alternative date for your stay, subject to availability. We do not accept liability for other costs or losses resulting from cancellation. Guests are advised to take out travel insurance.

5. Check-in, late arrival and no-shows
Check-in is from 4:00pm to 9:00pm. If you anticipate arriving after 9:00pm, please contact us in advance. While we’ll do our best to accommodate, this is not guaranteed and may incur a fee of £15 per hour (or part thereof) if staff are required to stay. Failure to arrive by 9:00pm without notice will be treated as a no-show, and the full cost of the stay will be charged with no refund given. Check-out is by 10:00 AM. Late check-out may be available by prior arrangement and may incur a fee.

6. Group bookings (3+ rooms)
For bookings of three or more rooms, we may require a non-refundable, non-transferable deposit of up to 50%. Payment must be completed via a secure payment link within 24 hours of invoice.

7. Overdue accounts
Accounts unpaid more than 7 days after departure will be referred to Daniels Silverman Limited for recovery. A surcharge of 15% plus VAT will be added to cover collection costs, along with any other costs or legal fees incurred.

8. Damages and guest conduct
Guests must behave responsibly and respectfully. Any disruptive or harmful behaviour towards guests, staff or property may result in immediate termination of stay without refund. The lead guest is responsible for all members of the party. Guests are liable for damage or breakages, lost keys or fobs, specialist cleaning (e.g. from smoking or spills) etc.

We reserve the right to charge the payment card on file for any such costs, in accordance with the authorisation at time of booking. Smoking or vaping is not permitted indoors. Additional charges may apply for breaches.

9. Children, pets and accessibility
Children are welcome with adult supervision at all times. Pets are not accepted, except registered assistance dogs by prior arrangement. The building is Grade II listed, with steps and narrow corridors. Please see our online Accessibility Guide or contact us if you have any concerns.

10. Privacy and data protection
Your personal data is handled in accordance with our Privacy Policy at (https://riversideboscastle.co.uk/privacy-policy/.
We collect and process personal information only as necessary to manage your booking. We do not share your data unless required by law or necessary to fulfil your booking.

11. Jurisdiction
These terms are governed by English law, and any disputes shall be resolved under the courts of England and Wales.
